Job description:
About SASS Biomedical Engineering Services Pty Ltd, trading as OHM Healthcare
OHM Healthcare is a founder-led, engineer-owned healthcare technology group supporting critical-care delivery across Australia and New Zealand. We provide biomedical engineering, medical-device distribution, OEM field service and lifecycle support to hospitals and medical technology partners.
Our portfolio spans ventilation, ECMO, defibrillators, medical power solutions and medical-grade IT. We are a small, close-knit team, so the person in this role will work directly with operations, logistics, field service and sales colleagues every day.
About the role
We are looking for an Accountant to own the day-to-day accounting and reporting for a growing business that sells equipment, delivers field service and imports product from overseas manufacturers. Reporting to the Operations Manager, you will keep our records accurate, close the books each month and make sure what we quote, deliver, ship and invoice all reconcile.
Our business runs on Xero and the Zoho suite (CRM, Inventory, Books and Field Service Management). Prior Zoho experience is helpful but not mandatory; we may train the right person on our systems.
Key responsibilities
Financial accounting and reporting
- Prepare monthly and annual financial statements: profit and loss, balance sheet and cash flow.
- Run month-end and year-end processes, including journals, accruals, prepayments and reconciliations.
- Review general ledger accounts, investigate discrepancies and keep supporting records in order.
- Maintain the fixed asset register and calculate depreciation.
- Analyse revenue, expenditure and operating costs, and explain significant movements to management.
- Assist with budgets, forecasts and cash flow monitoring.
- Prepare calculations and records for GST, BAS, PAYG and other obligations, working with our external tax adviser.
- Prepare schedules and supporting documents for external accountants and auditors.
Customer receivables and service billing
- Reconcile customer balances, review overdue accounts and follow up payment discrepancies.
- Check service-job billing against approved quotes, work orders and job completion records, to catch missing or incorrect charges and support correct revenue recognition.
- Reconcile customer, quote, sales order and invoice information across our systems.
Suppliers, freight and inventory costing
- Reconcile supplier, freight, courier and customs invoices against purchase orders, shipment records and agreed charges.
- Investigate duplicate invoices, incorrect freight charges, billing discrepancies and outstanding supplier credits.
- Calculate and allocate landed costs (freight, insurance, duties and other import charges) to support inventory valuation and margin reporting.
- Reconcile supplier balances and coordinate resolution of payment discrepancies.
Systems and controls
- Maintain accounting controls across our finance workflows and suggest ways to improve data accuracy and reporting.
Essential requirements
- Bachelor’s degree in accounting or a closely related discipline.
- At least 2 years’ experience in an accounting role.
- Working knowledge of Australian accounting standards and financial reporting requirements.
- Exceptional communications skills as this is a customer and stakeholders facing role.
- Experience preparing financial statements, reconciliations and month-end accounts.
- Demonstrated financial management experience, including budgeting, forecasting, cash flow monitoring and management reporting.
- Experience in a healthcare, medical-device or comparable regulated equipment business, with an understanding of how healthcare customers buy, are invoiced and pay.
- Experience working with integrated business systems that link CRM, inventory/warehouse, Books and field service (for example Zoho or an equivalent), and with a cloud accounting system such as Xero.
- Experience reconciling supplier, freight and import invoices against purchase orders and shipment records, and allocating landed costs to inventory, including import duties, customs charges and import GST.
- Strong Microsoft Excel skills and the ability to analyse financial data.
- Attention to detail, sound problem-solving and the ability to meet reporting deadlines.
- Clear communication with management, operations staff, suppliers and external advisers.
- Current Australian work rights.
Desirable
- Knowledge of the Australian healthcare and medtech start-up and small-business ecosystem.
- Experience with field service billing, including reconciling service jobs, quotes, work orders and invoices to ensure correct billing and revenue recognition.
- Understanding of AS/NZS 3551 (management programs for medical devices) and IEC 60601 (medical electrical equipment safety), and of how maintenance, testing and compliance activity under these standards is scoped and charged.
- Experience costing and pricing service, preventive-maintenance and electrical-safety-testing work based on these standards, and tracking job profitability against those costs.
- Direct experience with Zoho CRM, Inventory and Field Service Management.
- Experience with freight and logistics platforms used by importers, such as [INSERT PLATFORM NAME].
- Familiarity with TGA-regulated medical devices and the costs that come with them (for example ARTG inclusion and annual charges, and sponsor obligations that affect cost and reporting).
- CA, CPA or eligibility for membership of an Australian accounting body.
All applications will be assessed against the requirements of the position. OHM Healthcare is an equal opportunity employer.
Benefits:
