We’re seeking an experienced Senior Project Administrator with strong site-based experience to coordinate project logistics, workforce mobilisation and commercial support activities — the person who keeps operations running smoothly day to day.

The Opportunity

As part of the onsite delivery team, you’ll be the operational heartbeat of the project — coordinating people, data and documentation across construction, commercial and site leadership teams.

This role suits someone who thrives on structure, variety and ownership. No two days are the same, and you’ll have real impact across multiple moving parts of a major national project.

Key Responsibilities

  • Coordinate mobilisation of all site personnel including travel, accommodation, and rosters.

  • Oversee camp capacity, bookings and communications for site operations.

  • Manage weekly timesheets for payroll — collating, coding, and validating data for accuracy.

  • Support procurement activities including purchase orders, invoice coding and office supplies.

  • Provide administrative and reporting support to Project Management and Commercial teams.

  • Assist with cost reconciliations, Visa Card statements, and documentation for Accounts Payable.

  • Maintain project registers, spreadsheets and reporting dashboards in line with site requirements.

  • Assist with ad hoc site-based duties as required, ensuring daily operations run efficiently and safely.

About You

You’re proactive, organised and comfortable working in a fast-paced site environment. You can juggle competing priorities, support multiple stakeholders, and keep calm under pressure.

You’ll bring:

  • Minimum 3 years’ experience in a project administration or site-based coordination role.

  • Experience working within construction, energy, mining or infrastructure projects.

  • Strong Microsoft Office skills; exposure to Jobpac or similar systems highly regarded.

  • Excellent communication and stakeholder coordination skills.

  • A genuine focus on teamwork, accountability, and safety.

  • Certificate IV in Business Administration (desirable).

  • Construction Card and current C-Class Driver’s Licence (or willingness to obtain).
