About the Role

Austern Building Supplies is seeking an experienced Contract Administrator to join our growing team on a full-time basis.

The successful candidate will be responsible for the administration, review and coordination of the company's commercial contracts and related documentation, with a particular focus on agreements with suppliers, wholesalers and manufacturers.

This role requires strong attention to detail, commercial awareness and the ability to communicate effectively with internal stakeholders and external suppliers in Australia and overseas.

Key Responsibilities

  • Prepare, review, interpret and maintain supplier, purchasing and commercial contracts and associated documentation.
  • Review contract terms, conditions, pricing arrangements, delivery requirements and payment provisions.
  • Assist with the preparation, review and negotiation of contract amendments and variations.
  • Maintain accurate contract registers, records, correspondence and supporting documentation.
  • Monitor contractual obligations, key dates, renewals, deliveries and other agreed milestones.
  • Liaise with suppliers, wholesalers, manufacturers and other external parties regarding contractual requirements, pricing, supply arrangements and variations.
  • Review supplier invoices and other contract-related financial documentation against agreed contractual terms, purchase arrangements and pricing schedules.
  • Identify discrepancies between contracts, purchase orders, invoices and agreed supply terms and coordinate their resolution.
  • Respond to contractual enquiries and resolve issues relating to supply agreements, delivery terms, pricing and contractual obligations.
  • Assist management in identifying contractual risks and provide information regarding contract terms, obligations and potential issues.
  • Coordinate with the sales, administration and accounting teams to ensure contracts, invoices, purchase documentation and supplier records are accurate and consistent.
  • Maintain effective working relationships with key suppliers and manufacturers and support ongoing contract negotiations and renewals.
  • Prepare contract-related reports and correspondence for management.
  • Ensure contract documentation and administrative processes comply with company policies and applicable requirements.

About You

To be successful in this role, you will have:

  • At least one year of Australian work experience in contract administration within the construction, building, engineering, building materials or a closely related industry.
  • A Bachelor's degree or higher in Construction Management, Engineering Management, Contract Management, Law, Quantity Surveying, Project Management or another relevant discipline.
  • Demonstrated experience preparing, reviewing and administering commercial contracts and contract variations.
  • Experience dealing with suppliers, wholesalers, manufacturers and other commercial stakeholders.
  • Good understanding of contractual terms, commercial documentation, invoicing and supplier arrangements.
  • Strong written and verbal communication skills.
  • Excellent organisational skills and attention to detail.
  • Strong Microsoft Office and general business administration skills.
  • Ability to work independently and manage multiple contracts and deadlines.
  • Professional proficiency in Mandarin is required, as the position involves regular communication and negotiation with Mandarin-speaking suppliers, wholesalers and manufacturers.
  • Professional working proficiency in English.
