Salary: $79,000–$85,000 annually, plus superannuation

My Trusted Dentist is a family-owned dental practice providing reliable, patient-focused care for individuals and families of all ages. The practice offers a full range of dental services, which include comprehensive check-ups and cleans, restorations, root canal treatment, surgical extractions, dental implants, crowns and veneers, dentures and bridges, customised mouthguards, teeth whitening, paediatric dentistry, emergency dental care and advanced imaging with cone beam CT scans.

About the Role:

We are seeking a detail-oriented and organised Contract Administrator to support the effective management of supplier and patient treatment contracts. This role plays a key part in ensuring contracts are accurate, compliant and aligned with both operational needs and patient care standards. You will work closely with the Clinic Manager and Principal Dentist to support smooth day-to-day operations and long-term business objectives.

Duties and Responsibilities:

  1. Prepare, review and manage contracts with suppliers of dental equipment and materials, as well as patient treatment agreements, ensuring accuracy, compliance with relevant laws, and commercially favourable terms.
  2. Develop and administer patient treatment agreements for long-term and complex procedures, clearly outlining scope of services, timelines, informed consent, and payment arrangements.
  3. Monitor and manage employment and contractor agreements (including dentists and clinic staff), ensuring that contractual obligations are clearly understood and effectively followed, and that both parties comply with agreed terms and responsibilities.
  4. Negotiate contract terms, pricing, service levels and variations with suppliers and service providers to support operational efficiency and cost control.
  5. Monitor contract performance, including renewals, extensions and terminations, ensuring continuity of services and timely updates of agreements.
  6. Maintain and organise all contract documentation, including supplier, contractor, employee and patient-related agreements, ensuring records are accurate, up to date and easily accessible.
  7. Respond to contract-related enquiries from patients, suppliers, contractors and internal staff, resolving issues in a timely and professional manner.
  8. Liaise with the Clinic Manager and Principal Dentist to ensure all contractual arrangements align with clinical requirements, patient care standards and overall business objectives.
  9. Identify, assess and manage risks associated with contract terms, including financial exposure, operational impact and compliance obligations.
  10. Provide advice to senior management on contract matters requiring attention and implement approved decisions in line with business priorities.
  11. Oversee contractor and supplier performance, ensuring services are delivered in accordance with agreed contractual terms, and report on any delays, issues or variations.
  12. Prepare reports, summaries and documentation on contract activities, supplier performance and operational outcomes to support informed decision-making.
  13. Collect and analyse data relating to supplier costs, treatment plans and contract outcomes to identify opportunities for improved efficiency, cost management and enhanced patient service delivery.

Qualifications and Experience:

  1. At least three years’ experience in a contract administration or similar role
  2. A diploma or higher qualification in business, project management or a related field
  3. Excellent communication and stakeholder management skills
  4. Ability to interpret and manage contractual documentation with accuracy
  5. Experience working in a healthcare or dental setting is highly regarded
