An exciting opportunity has become available for an experienced Executive Assistant to provide dedicated support to the Founder of a highly regarded international education institute based in Melbourne's eastern suburbs.
Your new role
This is a fast-paced and highly visible role where you will be responsible for managing a complex schedule, coordinating extensive international travel and facilitating meetings with key stakeholders across Australia and overseas. The successful candidate will be exceptionally organised, proactive and capable of anticipating the needs of a busy Founder in a dynamic environment.
As Executive Assistant to the Founder, your responsibilities will include:
- Managing a complex and ever-changing diary across multiple time zones
- Coordinating extensive international travel arrangements, including flights, accommodation, visas and detailed itineraries
- Organising and coordinating executive, board and stakeholder meetings
- Preparing agendas, presentations, briefing papers and meeting documentation
- Acting as a key point of contact between the Founder and internal and external stakeholders
- Managing correspondence, inbox monitoring and follow-up actions
- Building strong relationships with local and international stakeholders
- Ensuring the smooth day-to-day operation of the Founder's office
What you'll need to succeed
To be successful in this role, you will demonstrate:
- Proven experience supporting a C-suite executive, Founder or senior leader
- Exceptional diary management and executive coordination skills
- Strong experience coordinating international travel and stakeholder engagement
- Outstanding organisational skills and the ability to manage multiple competing priorities
- A proactive, solutions-focused approach and the ability to thrive in a fast-paced environment
- Excellent communication and relationship-building skills
- Fluency in both Mandarin and English, with the ability to confidently engage with international stakeholders
- High levels of discretion, professionalism and attention to detail
