We’re Looking For

  • An experienced Personal Assistant to provide high quality executive support while leading the smooth day to day operation of the office.
  • This is a highly visible position that combines senior level personal assistance, office leadership and business coordination. You will be a trusted point of connection for senior executives, government representatives, external partners and teams across Stockland.
  • The role has one direct report and works closely with approximately 40 development team members as part of a broader office community of around 180 people. You will generally work from the office three to four days each week, with flexibility to attend sites and work alongside senior leaders where required.

What You’ll Do

  • Manage a complex and changing diary, protect priorities, coordinate meetings and anticipate upcoming requirements
  • Collate reports, seek business updates and maintain accurate and current business plans
  • Coordinate activities across business units and act as a central point of connection for senior leaders, development teams and key stakeholders
  • Lead day to day office operations, including new starter inductions, technology coordination, catering, building liaison and workplace reporting requirements
  • Coordinate with the broader Personal Assistant community to support leadership meetings, office activities and consistent ways of working
  • Facilitate a monthly office meeting and contribute to State Leadership Team meetings by bringing together relevant updates, actions and priorities
  • Maintain clear records, presentations, correspondence, meeting materials and other business information
  • Lead and support one direct report, creating clarity around responsibilities, priorities and service standards
  • Exercise discretion when managing sensitive information and confidential business matters
  • Represent Stockland professionally and contribute to a safe, welcoming and well organised workplace

About You

You are an experienced Personal Assistant or Office Manager who naturally looks ahead, anticipates what is needed and takes action before issues arise. You bring structure to competing priorities and can move comfortably between executive support, office operations and stakeholder coordination.

You will enjoy working in close partnership with a senior leader and becoming a trusted source of information across the business. You bring high energy to a role that moves at pace, while creating calm, clarity and consistency for those around you.

Experience & Skills That Count

  • At least four years of relevant experience in personal assistance, executive support, office management or a similar senior administration role
  • Demonstrated experience managing complex diaries, reports, business information, meetings and competing priorities with strong attention to detail
  • Confidence engaging with senior executives, government representatives, external partners and stakeholders across different business areas
  • Strong office operations experience, including workplace coordination, new starter inductions, building liaison, technology support and team leadership
  • Advanced organisational, communication and Microsoft Office skills, supported by sound judgement and the ability to handle confidential information
