Summary

Our client Acecom NT is seeking to add a Project Administrator to its established Northern Territory operations. With more than 25 years of industry experience, a workforce of over 50 employees and extensive delivery across metropolitan and remote areas, Acecom provides end-to-end ICT, communications and system solutions while maintaining a strong focus on safety, quality, reliability and successful project outcomes.

The typical job responsibilities will include, but are not limited to the following:

• Provide day-to-day administrative support across multiple ICT, communications and system delivery projects.

• Maintain project documentation, records, registers, correspondence and other administrative information throughout each project lifecycle.

• Assist Project Managers with scheduling, coordination, reporting and monitoring of project activities and milestones.

• Prepare, review and distribute project reports, submissions, meeting records and supporting documentation.

• Coordinate project communications between internal teams, clients, contractors, suppliers and other relevant stakeholders.

• Respond to project enquiries and assist in resolving administrative issues affecting project delivery.

• Monitor project documentation to ensure required information, approvals and supporting records remain current and complete.

• Assist with the preparation and administration of project variations, work orders and related documentation.

• Collect, compile and analyse project information to support progress reporting and management decision-making.

• Track project actions, deadlines, deliverables and outstanding requirements to support timely completion of works.

• Support procurement and supplier coordination by maintaining purchase, delivery and project-related administrative records.

• Liaise with contractors and project personnel regarding documentation, scheduling, variations and administrative requirements.

• Assist senior management and Project Managers with information required for operational and project-related decisions.

• Maintain organised electronic and physical project files in accordance with company procedures and compliance requirements.

• Support efficient project administration across metropolitan and remote Northern Territory works and service locations.

Applicants must meet the following minimum requirements to be considered for the role:

• AQF Diploma, Advanced Diploma or Associate Degree in business, project administration or another closely relevant discipline.

• A minimum of 12 months' recent, directly relevant experience in a Project Administrator or closely comparable role.

• Demonstrated experience maintaining project documentation, registers, correspondence, reports and other administrative records accurately and efficiently.

• Strong organisational skills with the ability to coordinate multiple project activities, deadlines, priorities and stakeholder requirements simultaneously.

• Demonstrated ability to communicate professionally with Project Managers, clients, contractors, suppliers and other internal and external stakeholders.

• Experience assisting with project reporting, variations, work orders, procurement documentation and administrative follow-up activities.

• Strong computer literacy and demonstrated ability to use common business, document management and project administration software.

• Ability to work accurately, independently and collaboratively while maintaining confidentiality, attention to detail and established company procedures.
