Role Overview

As the Reception & Administration professional, you'll be the first point of contact for clients, visitors, and stakeholders, managing a busy reception desk while delivering high-quality administrative support across the business. Reporting to the General Manager, this permanent role sits at the heart of the organisation, requiring someone who is polished, proactive, and highly organised.

You'll support senior leaders including the Chief Operating Officer, Business Managers, and General Managers with a range of administrative tasks. From managing correspondence and maintaining databases to handling compliance documentation, your contribution will be felt across every level of the business. A commitment to workplace safety and quality standards is essential in this environment.

Responsibilities

  • Manage the reception desk, warmly welcoming clients and visitors and administering the site sign-in system
  • Answer and direct incoming calls in a professional and timely manner
  • Provide administrative support to the COO, General Managers, Business Manager, and Finance & Business Administrator
  • Process mail and documents in accordance with company document management procedures
  • Maintain accurate and current data across company databases and software platforms including Skytrust
  • Respond to basic customer pricing enquiries and refer complex queries to the appropriate team members
  • Support compliance with company accreditations and financial regulatory requirements
  • Contribute to business improvement by identifying process efficiencies and providing constructive feedback
  • Maintain a clean, safe, and well-presented reception and work area

Candidate Profile

You are a polished and professional administrator with a minimum of 2 years' experience in a reception or administration role. You bring exceptional attention to detail, strong written and verbal communication skills, and the confidence to liaise effectively with senior stakeholders and external parties alike. You are highly organised with the ability to prioritise competing demands in a fast-paced environment. Intermediate MS Office skills, including Excel, and experience managing and reporting from databases are essential. A current driver's licence and Certificate Level I in Administration are required. Above all, you handle sensitive and confidential information with the utmost discretion.
