An established building services and maintenance business is looking for a highly organised Administrator / Scheduling Coordinator to join their busy and supportive team.
This is a varied, fast-paced role where you will play an important part in coordinating day-to-day service operations, scheduling technicians and trades, managing job information and providing administrative support across the wider team.
This opportunity would suit an experienced administrator who enjoys working in a busy environment, is confident juggling changing priorities and has previous exposure to scheduling, maintenance, trades, facilities, construction or field-based services.
The Role:
- Coordinating and scheduling technicians and trades across service and maintenance jobs
- Allocating jobs and responding to changes in schedules throughout the day
- Managing work orders from initial request through to completion
- Liaising with technicians, contractors, customers and internal stakeholders
- Updating job information, service records and internal systems
- Monitoring outstanding jobs and following up to ensure work is completed within required timeframes
- Handling incoming calls and email enquiries
- Preparing documentation, reports and general correspondence
- Providing general administrative support to the wider operations team
- Assisting with other ad hoc administrative requirements as needed
About You:
- Previous experience in an administration, scheduling, service coordination or operations support position
- Experience coordinating technicians, trades, contractors or a mobile workforce would be highly regarded
- Previous exposure to building services, facilities management, maintenance, construction, HVAC, electrical, plumbing or a similar service-based industry would be advantageous
- Strong organisational and time-management skills
- The ability to manage multiple jobs and changing priorities
- Confident communication skills and a professional approach
- Strong attention to detail and systems capability
- A proactive attitude and willingness to support the wider team
