Your new company
A global organisation based in the heart of the Sydney CBD is seeking an energetic Executive Assistant to join the team on a maternity leave contract through to January 2028. This role will support the General Manager and Director of Australia. The ideal candidate will have experience supporting senior executives, thrive in a fast-paced environment, and be highly adaptable.
Your new role

  • Extensive diary and calendar management, including coordinating meetings and appointments across multiple stakeholders
  • Manage domestic and international travel arrangements, including flights, accommodation, itineraries, visas, and travel documentation
  • Coordinate internal and external meetings, events, conferences, and team functions
  • Prepare meeting agendas, presentations, reports, and correspondence
  • Screen and manage incoming calls, emails, and enquiries on behalf of the Directors
  • Process expenses, invoices, corporate credit card reconciliations, and purchase orders
  • Maintain accurate records, databases, and filing systems
  • Assist with project administration and support business initiatives as required
  • Coordinate stakeholder communications and maintain strong relationships with internal and external contacts
  • Provide general administrative support to ensure the smooth running of the Directors' offices
  • Handle confidential information with discretion and professionalism

What you'll need to succeed

  • Previous experience as an Executive Assistant supporting senior executives or directors
  • Exceptional organisational and time management skills
  • Strong written and verbal communication skills
  • Advanced Microsoft Office Suite skills, including Outlook, Word, PowerPoint, and Excel
  • Ability to manage multiple priorities and meet deadlines
  • High level of professionalism and attention to detail
  • Strong problem-solving skills and proactive approach
  • Experience coordinating travel, events, and expense management
